HOLIDAY COTTAGE POLICIES

Booking & Payment
​
Reservations can be made by telephone, email or online (our calendars are always live and up to date).
Should you not be able to book your required dates online then please do contact us directly.

We request 30% of the total reservation cost as a deposit payment. When reserving by email or telephone then you will receive an invoice by email with a link to our online payment provider to complete your transaction. An automated balance reminder will be sent 30 days prior to arrival for all reservations.

We will reserve your dates on our calendar for 48 hours from request for payment to be made.

Reservations made within 30 days of arrival will be charged the full cost of the holiday at booking.

Cancellation

Should you need to cancel your holiday;

We have a grace period of 24 hours from booking. We realise that sometimes mistakes are made.

If you need to cancel your booking and do so more than 30 days before check in they you will receive a full refund less a 1.5% charge for processing a refund to your card. Cancellations made within 30 days of check in are subject to a 30% charge (deposit charge) and those made within 14 days of check in will not be refunded.

We do advise guests to have holiday insurance in place to cover any eventuality that might cause them to be unable to take their holiday with us here at Yew Tree Farm. There are many travel insurance policies now with Covid Cover as standard.

Terms & Conditions
​
Associated fire risk:
Candles and naked flames are forbidden in our cottages due to the associated fire risk. Please do not bring candles with you on holiday.
Do not store an e-bike in the cottages or attempt to charge a car or e-bike. (Please ask for details on where to charge your vehicle or bike).
Smoking is prohibited (except in the garden). Should you wish to smoke please ask for the sand bucket.
Do not leave the washing machine running or anything on charge while you are not in the cottage.
We take fire risk very seriously and comply with the government's Fire Safety Order published in October 2023.
Our fire risk assesment is available to view at request.

​Further conditions:
Visiting guests to the cottages are strictly by pre- arrangement.
Children must not be allowed to roam the farm unaccompanied.
Please do not feed the animals without a member of our family present.

CL SITE POLICIES
​

We request the first night of your stay as a deposit payment. When reserving by email or telephone then you will receive an invoice by email with a link to our online payment provider to complete your transaction for your deposit. Deposit payments are non refundable and non transferable.

We will reserve your dates on our calendar for 24 hours from request for payment to be made.

Dogs must be kept on a lead on site and around the farm. We have plenty of land for off-lead exercise.

Please do not heat awnings with electric heaters. They represent a fire risk.

Electric cars can be charged on request- please ask for details.

Pitch price includes 10Kwh of electricity. Usage over will charged at current rate (October 2023- 0.35p/Kwh)

Visiting guests are strictly by prior agreement.

CL Site Cancellations

Should you need to cancel your holiday;

We have a grace period of 24 hours from booking. (We realise that sometimes mistakes are made however any refund made is subject to a 1.5% charge).

If you need to cancel your booking please let us know at your earliest convenience so that we may be able to re-book your pitch. No shows will be charged the full cost of the stay.

Deposit payments are non refundable.

PETS, DOG POLICY
​
Yew Tree Farm is dog friendly but to ensure the safety of everyone, we do ask the following of everyone bringing their four legged member of the family with them on holiday here:

Dogs must be fully house trained to stay in the cottages and must never be allowed on furniture or beds. Please do not put blankets on furniture for your dog to sit on. (Not all of our guests bring pets and we often get requests to book from those with allergies, hence pets not being allowed on furniture is very important to us).

We do not accept puppies in the cottages or large/ giant breeds of dogs. (So sorry- please do not be offended by this- your pet must be fully house trained and not prone to chewing. Our cottages are not suitable for dogs much bigger than Labrador size).

Dogs must not be left unsupervised in the cottages for any length of time unless they are crate/ cage trained.

There is a charge of £5 per dog per night with a maximum of £30 to pay for a weeks stay in the cottages.

Dogs must always be on a lead around the farm. We expect all owners to follow the Countryside code when walking in the area and across open farmland. We have over 70 acres of fields that you are welcome to exercise your dog off lead with access to the Shropshire Union Canal. Take a look at our walks from the door and further afield on The Sandstone Trail. We also provide a map of local walks along with books on the area and an Ordnance Survey map too for those wanting to delve deeper into our beautiful surrounding countryside.

Dog waste is a serious problem nationwide. The farm is situated in an agricultural area and we ask that all guests respect this by disposing of dog waste responsibly. We have many dairy herds in the area and our fields provide silage to neighbouring farms- dog faeces can cause high abortion rates in cattle and sheep. Please leave only your footprints.

Due to the size of the cottages, we allow two dogs to stay in The Cottage and one dog in The Stable.

All other pets are by agreement at booking.

SAFETY ON THE FARM
​
We are a small working farm so we do ask that children do not roam the farm unaccompanied.
Depending on the time of year we can often have large tractors coming through the yard aswell as delivery vehicles.
Please do not let children climb on gates and fences or enter animal pens without our supervision.

Here at Yew Tree Farm we take your privacy seriously and only use your personal information to provide the services you have requested from us.
We collect and process your personal information & data in the following ways:

On our website when you visit, make or manage a reservation; when you use our contact forms for an enquiry; email sign up.

We also work closely with third parties (including for example, Online Travel Agents) and may receive information about you from them.

Sensitive personal data:
We do not collect sensitive personal data.
Credit/Debit Cards:
We use a secure online payment provider site (Stripe) to obtain your credit/debit card information in order to process any purchases/bookings made on our site. It is unlikely that we will ask for credit/debit card information as you will be sent an invoice where you are guided to a secure website to make payment. We will never ask you to send us this information electronically. All such information is stored on a secure system and will only be accessed when necessary to take payments as outlined in our Terms & Conditions.
Opt out:
Marketing & Promotional e-mails provide a link at the end of the e-mail to unsubscribe from that service.
Please note that it is not possible to ‘opt-out’ of receiving communication from us which relates to your bookings or reservations, although we are very happy to contact you in a method of your choosing.

Non-disclosure to third parties:
We do not share your data with any other company for marketing purposes.
We work with carefully selected Online Travel Agents (OTAs). When you enquire about or book with these third parties, the relevant third-party product provider will use your details to provide you with information and carry out their obligations arising from any contracts you have entered into with them. They will be acting as a data controller of your information and therefore we advise you to read their Privacy Policy. These third-party product providers will share required information about you with us (e.g. cottage booked or pitch on our CL site and dates of stay as well as a masked email address and usually a contact telephone number) which we will use in accordance with this Privacy Policy. If you provide information on and use third-party sites, the privacy policy and terms of service on those sites are applicable. We encourage you to read the privacy policies of websites that you visit before submitting personal information.
Our website includes social media features, such as the ‘Facebook’ Like button’ and Widgets, such as the ‘LiveChat’ service that runs on our site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. Social media features and widgets are hosted by a third party. Your interactions with these features are governed by the privacy policy of the company providing it.

Retaining personal information:
We retain personal information about you for the period necessary to fulfil the purposes outlined in this Policy, unless a longer retention period is required or permitted by applicable law. Where your information is no longer required, we will ensure it is disposed of in a secure manner.
We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.
How we use cookies:
Our website uses “cookies” which are harmless small text files that are placed on your machine to help the website provide a better user experience. In general, cookies are used to retain user preferences, store information for things like shopping carts, and provide anonymised tracking data to third party applications like Google Analytics. As a rule, cookies will make your browsing experience better. However, you may prefer to disable cookies on this site and on others. We don’t use cookies to track individuals or store sensitive information such as your name, address or credit card details.
IP addresses:
We may collect non-personal information about your computer, including, where available, your IP address, operating system and browser type, for system administration. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual. Your IP address is a number that your Internet Service Provider automatically assigns to the computer that you are using to access the Site. This number is identified and logged automatically in our server log files whenever users visit the Site, along with the time of each visit and the page(s) that were visited. Collecting IP addresses is standard practice on the Internet and is done automatically by many websites. We use IP addresses for purposes such as calculating site usage levels and helping diagnose server problems. We do on occasion use Google Advertising features:
As a visitor to our site you can opt-out of the Google Analytics Advertising Features you use, including through Ads Settings, Ad Settings for mobile apps, or any other available means (for example, the NAI's consumer opt-out)
Please note that we treat IP addresses, server log files, and related information as Non-Personal Information, except when we are required to do otherwise under applicable law.
